Accounting Procedures At the end of every month, invoices will be sent through in order of travel arrangements made for the month with supporting documentation if applicable. A fully detailed travel analysis of your travel arrangements over a period of three months showing a breakdown of your travel expenses, i.e. hotel accommodation, flights, etc. A client travel summary report can be done as per requirement i.e. monthly, quarterly and biannually. This report assists you to effectively monitor your travel budget as an organisation and make necessary adjustments where needed. As a control measure we would recommend that travel reservations are centralised and that specific individuals are authorised to make reservations with the agency, and that order numbers / reference numbers are

Reservations Procedure On attaining your travel account, an appointment will be made to introduce the account manager, who will hand your account to the relevant travel co-ordinators in your organisation. At the meeting the consultant can familiarise himself with your company rules and requirements, explain the basics of the travel industry, i.e. a brief introduction into fares, how they work, classes of travel, validity of tickets, etc. Most importantly, this enables them to have a good rapport as their working relationship and communication form a very important part of the account management.
